SELLER RESOURCES
Everything you need to build, run and grow your Store on Varitya.
Varitya gives independent Sellers a professional marketplace workspace for managing Products, inventory, Orders, payments, fulfilment, returns, customer communication, analytics, staff access and Store growth.
This Seller Resources centre explains how to use those tools effectively and how to operate your Store with clear responsibilities, secure processes and a strong customer experience.
How selling on Varitya works
You control Products, pricing, stock, fulfilment, customer service, returns and the supported payment gateway connected to your Store.
Buyers shop through Varitya but ordinarily purchase from the independent Seller shown on the Product and Order.
Varitya provides discovery, Store infrastructure, account tools, Orders, messaging, returns workflows, analytics, security and marketplace administration.
START HERE
1. Getting started as a Varitya Seller
A successful Varitya Store starts with complete setup. Before publishing Products, make sure your Store has accurate business details, a configured marketplace country, base currency, delivery settings, payment gateway, branding and an active Seller Subscription where required.

- Create or confirm your Store. Add the Store name and operational details.
- Set your home country and base currency. Review these carefully before creating a large catalogue.
- Choose where you sell. Configure domestic, selected-country or broader international availability.
- Set up shipping. Define where you deliver and what Buyers should expect.
- Connect a payment provider. Use a supported gateway available to your market.
- Add Store branding. Upload a clear logo/banner and complete Store presentation.
- Create your first Product. Use accurate content, pricing and inventory.
- Review Seller Subscription. Make sure the Store has the correct Varitya platform plan.
- Complete your setup review. Fix any incomplete onboarding items before promoting the Store.

STORE SETTINGS
3. Configure your Store accurately
Store settings influence how Buyers see your business, where your Products appear and how the marketplace determines eligibility.
- Store name: use the trading name Buyers should recognise.
- Home country: identifies the Seller's primary market and should be accurate.
- Base currency: choose carefully before building a large Product catalogue.
- Timezone: keeps operational times meaningful for your team.
- Locale: supports appropriate formatting and marketplace presentation.
- Selling scope: define domestic-only, selected countries or international markets.
- Shipping zones: specify where you can fulfil Orders.
- Store status: ensure the Store is active before expecting public visibility.
STORE BRANDING
4. Build a Store Buyers can recognise and trust
Good branding helps Buyers identify your Store and understand that they are purchasing from an independent business within the Varitya marketplace.
Use professional visuals
- Upload a clean Store logo.
- Use a Store banner that remains readable on mobile.
- Avoid excessive text inside images.
- Use images you own or are authorised to use.
- Keep colours and typography consistent with your brand.
Keep Store information current
- Use an accurate Store description.
- Publish relevant delivery/returns information.
- Keep social and external links current where used.
- Remove obsolete promotional statements.
- Do not make misleading trust or certification claims.
CATALOGUE
5. Create high-quality Product listings
Product quality begins with accurate catalogue data. Buyers should understand what they are purchasing without needing to guess.
Product title
Make it specific and easy to understand. Avoid keyword stuffing.
Description
Explain important features, dimensions, materials, compatibility and limitations.
Images
Use clear Product photography from useful angles and avoid misleading representations.
SKU
Use a consistent internal identifier that helps your team manage Products.
Price
Enter the correct price in the Store's configured currency.
Stock
Keep inventory accurate so Buyers are not purchasing unavailable goods.
Category
Choose the most relevant category to improve discovery.
Status
Publish only when the Product is complete and ready to sell.
PRODUCT VARIANTS
6. Manage size, colour and other options correctly
Use Product variants when one Product is available in multiple selectable forms such as size, colour, capacity or finish.
- Create clear option groups and option values.
- Give each meaningful variant its own SKU where appropriate.
- Set variant-specific pricing when prices differ.
- Maintain variant-specific stock.
- Use variant images when visual differences matter.
- Disable variants that are no longer available instead of leaving misleading stock.
- Use compare-at pricing only where the reference price is genuine and lawful.
INVENTORY
7. Keep stock accurate and act on low-stock alerts
Inventory accuracy reduces cancellations, Buyer disappointment and fulfilment problems.
Good inventory practice
- Enter opening stock accurately.
- Record manual adjustments with the correct reason.
- Use low-stock thresholds appropriate to the Product.
- Review low-stock and out-of-stock Products regularly.
- Check variant-level inventory where applicable.
Understand stock reservations
During checkout, Varitya may temporarily reserve stock so two Buyers are less likely to purchase the same final unit. If payment is not completed within the applicable reservation period, that stock may be released.
PRICING
8. Price clearly and fairly
You are responsible for Product pricing in your Store.
- Use the correct Store currency.
- Include or clearly disclose mandatory charges as required by law.
- Do not use false discounts or artificial reference prices.
- Check variant-specific prices carefully.
- Review prices before publishing promotions.
- Consider delivery costs and international charges when deciding which markets to serve.
PROMOTIONS
9. Use coupons and discounts responsibly
Promotions can help increase conversion, but they should be clear, limited and commercially sustainable.
- Use clear coupon names/codes.
- Set valid start and end dates.
- Define minimum spend where appropriate.
- Limit eligible Products if the promotion is not Store-wide.
- Set sensible usage limits.
- Check that discount logic does not create negative or unintended pricing.
- Do not advertise misleading savings.
CUSTOMER PAYMENTS
10. Connect how Buyers pay your Store
Customer payments are ordinarily processed using the Seller payment provider connected to your Store.
Your Varitya subscription is a separate platform payment and is not the same as Buyer sales revenue.
Depending on your market and Varitya's enabled provider settings, supported customer-payment integrations may include Stripe Connect, Paystack and Flutterwave.
- Connect only accounts you are authorised to use.
- Use live credentials only when you are ready for production transactions.
- Keep secret credentials private.
- Do not share gateway secrets with Seller staff unless absolutely necessary and authorised.
- Check that the gateway is enabled for the country you serve.
- Resolve provider verification requirements promptly.
- Do not assume an Order is paid until the payment state is confirmed.
ORDER MANAGEMENT
11. Process Orders accurately and promptly
Orders placed with your Store are your fulfilment responsibility.
- Review the Order. Confirm Product, variant, quantity, address and payment state.
- Check stock physically where needed. Do not assume an incorrect stock record is the Buyer's problem.
- Prepare the correct goods. Match SKU/variant and inspect condition.
- Package securely. Use packaging suitable for the Product and journey.
- Dispatch within the promised timeframe.
- Add tracking. Record accurate carrier/reference information when available.
- Keep status current. Buyers rely on your Order updates.
- Respond to Buyer questions.
FULFILMENT
12. Build a reliable fulfilment process
A professional Seller should have a repeatable fulfilment process rather than handling every Order differently.
Before dispatch
- Check payment state.
- Confirm correct Product and variant.
- Inspect Product condition.
- Confirm delivery address.
- Use adequate packaging.
After dispatch
- Update fulfilment status.
- Add carrier and tracking.
- Retain dispatch evidence.
- Monitor exceptions where practical.
- Respond if the Buyer reports a delivery problem.
DELIVERY RESPONSIBILITY
13. You remain responsible for delivering goods sold by your Store
Do not simply tell a Buyer that a missing or late parcel is "the courier's problem" and refuse to help. Where you remain responsible for delivery, you should investigate your carrier and provide the appropriate remedy.
Buyers may contact a courier for tracking or redelivery assistance, but unresolved delivery issues should be handled by the Seller.
Review the public Delivery & Returns page so your Store's processes are consistent with the marketplace guidance.
RETURNS & REFUNDS
14. Handle returns fairly and distinguish statutory rights from goodwill policies
A Seller's voluntary return policy can provide extra benefits, but it must not be used to remove mandatory consumer rights.
- Review each return against the correct Seller Order.
- Distinguish change-of-mind returns from faulty/misdescribed Product rights.
- Give clear return instructions.
- Do not direct Buyers to return goods to Varitya unless specifically authorised.
- Process approved refunds through the payment provider associated with the Order.
- Remember that cancellation and completed refund are different states.
- Keep return/refund records accurate.
BUYER MESSAGING
15. Use messaging as a customer-service tool
Buyer–Seller messaging should be professional, relevant and connected to a Product or Order.
- Respond clearly and courteously.
- Keep important Order decisions inside the marketplace conversation where possible.
- Do not request complete card details or passwords.
- Do not use messages for unrelated spam or aggressive marketing.
- Do not threaten Buyers over reviews or disputes.
- Escalate abusive or suspicious messages through Varitya where appropriate.
REVIEWS
16. Build reputation through genuine customer experiences
Reviews can be a major trust signal. The strongest way to improve them is through accurate listings, reliable fulfilment and good customer service.
- Do not create reviews for your own Store.
- Do not buy fake reviews.
- Do not threaten or pressure Buyers for positive ratings.
- Do not offer undisclosed rewards solely for positive feedback.
- Respond to criticism professionally where response tools are available.
- Use repeated feedback to identify Product or fulfilment problems.
PERFORMANCE
17. Use Seller Analytics to understand your Store
Seller analytics help turn marketplace activity into operational decisions.
Sales
Review Store sales in the correct transaction currency context.
Orders
Track volume, fulfilment status and operational patterns.
Products
Identify stronger and weaker catalogue performers.
Returns
Watch return reasons for quality or description issues.
Reviews
Look for recurring customer-service themes.
Inventory
Use stock and low-stock signals to improve availability.
STORE TEAM
18. Delegate work without giving everyone full control
Store Owners can invite staff and assign operational permissions.
| Typical role | Typical responsibility |
|---|---|
| Catalogue Manager | Products, catalogue, promotions and storefront work. |
| Fulfilment | Orders and fulfilment operations. |
| Customer Service | Buyer support, messages and reviews. |
| Analyst | Analytics and performance review. |
| Store Admin | Broad non-owner operational access. |
| Owner | Full Store control including owner-only payment, billing and team functions. |
Give each staff member only the permissions they need. Remove access promptly when a person no longer works with the Store.
SECURITY
19. Protect your Store, customer information and payment credentials
- Use a strong, unique password.
- Do not share Owner credentials.
- Use staff accounts instead of sharing one login.
- Review security/access activity regularly.
- Investigate unexpected failed sign-ins or access denials.
- Never send payment-provider secret keys in messages or support screenshots.
- Remove staff access immediately when no longer required.
- Contact Varitya if you suspect account compromise.
VARITYA BILLING
20. Understand your Seller Subscription
Your Seller Subscription is the commercial relationship between your Store and Varitya for use of the marketplace platform. It is separate from the money Buyers pay you for Products.
Does Varitya take my customer payment as a marketplace commission?
Varitya is designed around separate Seller customer payments and separate Seller Subscription billing.
Who should manage billing?
Seller Subscription and sensitive payment settings should remain owner-controlled.
What happens if billing fails?
Depending on the live billing policy, access to paid functionality may eventually be restricted until the subscription is resolved.
INTERNATIONAL SELLING
21. Expand only into markets you can serve properly
Varitya allows local-first marketplace discovery while giving eligible international Sellers access to Buyers in supported countries.
Before enabling a country, confirm that you can manage:
- legal right to sell the Product into that market;
- shipping cost and delivery time;
- Product safety and labelling obligations;
- customs/export requirements;
- tax/VAT obligations;
- supported payment provider availability;
- cross-border returns;
- customer support across time zones/languages where relevant; and
- consumer rights applicable to Buyers in that destination.
SELLER COMPLIANCE
22. You are responsible for operating your Store lawfully
Varitya provides marketplace technology, but each Seller remains responsible for the legal compliance of its own business and Products.
Product compliance
Sell only Products you have the legal right to sell and that meet applicable safety and labelling rules.
Consumer information
Provide clear pricing, delivery, cancellation and returns information where legally required.
Taxes
Understand your VAT, income/corporation tax, customs and other business obligations.
Privacy
Use Buyer information only for lawful purposes and protect it appropriately.
Intellectual property
Do not use counterfeit goods, copied images or content you are not entitled to use.
Platform reporting
Provide accurate Seller information where Varitya is legally required to verify or report marketplace Seller data.
CUSTOMER SERVICE
23. Strong customer service is part of Store performance
Good marketplace performance is not only about Product price. Buyers remember communication, delivery reliability and how problems are resolved.
- Reply within a reasonable timeframe.
- Be specific rather than sending generic responses.
- Take responsibility for delivery issues that are yours to resolve.
- Do not blame Buyers for Seller catalogue or fulfilment mistakes.
- Keep communication professional during disputes.
- Resolve valid returns/refunds promptly.
- Use recurring complaints as operational feedback.
TROUBLESHOOTING
24. Common Seller issues and what to check first
My Product is not visible
Check Product status, Store status, stock, selected market/country availability and whether the Store is eligible to sell into the Buyer's selected country.
A payment is not showing as completed
Confirm the correct Seller gateway is connected, review the provider transaction and do not manually mark an Order paid without reliable evidence.
My stock looks wrong
Review variant-level stock, manual inventory movements, Order reservations and released reservations.
A staff member cannot access a feature
Check the staff role/permission. Owner-only payment, billing and team controls are intentionally restricted.
I cannot upload images
Check file type/size and whether the marketplace media service is currently available. Do not attempt to save Product media into the application deployment folder.
The Seller dashboard appears stale
Refresh, sign out/in and try a private window. If the issue continues, record the page, time, error/reference ID and steps before contacting support.
SELLER SUPPORT
25. Need help with your Store?
Before contacting support
Prepare the information that will help us investigate quickly:
- Store name;
- Seller account email;
- affected Product or Order number;
- page/feature affected;
- what you expected to happen;
- what actually happened;
- exact error/reference ID;
- approximate time of the issue; and
- a screenshot where helpful and safe.
Never include passwords, full card details or payment-provider secret keys in a support message.
